Your Personal Data & Stingray Divers

Visitors to this website

Stingray Divers do not collect personal information about you via this website unless you provide it explicitly by contacting us using the links on the pages. Our Internet Service Provider (Netweaver) may collect statistics such as total page visits, ip addresses of visitors and so on in accordance with their privacy policy. We have chosen an ISP which we believe takes privacy seriously and will protect visitors to the site and club member's data.

If you visit the club Facebook page or twitter feed then both you and the club are agreeing to be bound by the terms and conditions of those services.

Try divers and other guests and visitors to the club

We are required to collect basic personal information about you (name, address, phone number(s), date of birth, self declaration of fitness to dive, existing diving qualifications if applicable) prior to permitting you to take part in a try dive event or guest dive. We will keep this data safe and only use this information only for organising that event. We may contact you following the event in to ask for feedback and to see if you wish to take up membership of the club. You may tell us if you do not wish to be contacted again. If you do not join the club, we will delete your data after a reasonable period of time in accordance with club policy.

Club Members

Requirements from Club Members

In order to properly administer the dive club, Stingray Divers requries certain personal information from all club members.

This information includes but is not limited to your name, address, phone number(s), diving qualifications, limited medical information pertaining to your 'fitness to dive', and your next of kin contact information in case of emergencies.

Please note that as Stingray Divers is a democratic organisation and in general all adult club members in good standing are entitled to stand for election, in effect any member of the club may from time to time have access to your personal information in the course of carrying out club activities.

We are required to pass on your information to our parent organisation (BSAC) who will manage your data in line with their own data protection and privacy policy.

As a club member, consent to the use of the data you have given us for the normal management of the dive club is implicit in your continued membership.

If you do not wish your information to be used in this way, you may withdraw from membership of the club.

From time to time we may ask for additional information in respect of specific activities, such information is optional and we will be transparent with you about what data we wish to collect and why.

Fitness to Dive

If you become unfit to dive, you are required to notify the diving officer. You need not give details of any medical condition, merely that you are no longer fit to dive.

If/When you return to dive fitness, the diving officer needs to see a copy of your counter-signed declaration of fitness to dive, again medical details are not necessary, only that you have been signed off as fit to dive and (if applicable) any restrictions that have been placed on your diving activities by the medical referee.

Obligations of Club Members

Club members who have access to personal data are obliged to take all reasonable precautions to keep that data safe and secure.

You may only use the data for legitimate purposes related to administering the dive club (for example keeping records of training and diving activities, advertising club events to members, organising club meetings and elections, planning diving and training activities, making incident reports to BSAC).

You may not otherwise share that data with others unless previously agreed (for example sending membership info to BSAC HQ) or required to by law.

Obligations to Club Members

We will take all reasonable precautions to ensure that your personal data is kept safe and secure whether in paper or electronic format.

We will only use your information for the purpose(s) of administering the dive club, including but not limited to: keeping records of training and diving activities, advertising club events to club members, organising club meetings and elections, planning diving and training activities.

You may request to see the data the club holds on you (but not other people) - please be aware we are small, volunteer run organisation and responding to such requests can take considerable time and effort.

You may request inaccurate data is corrected or removed.

The committee will review data held periodically and will delete/destroy data which we no longer have a legitimate reason to keep.

Penalties for misuse of and/or carelessness with personal data

Club members are reminded that mis-using other people's personal data and/or failure to take reasonable steps to protect personal data is against the law.

Regardless of any legal or criminal penalties, misuse of or carelessness with personal data by a member of the club may be regarded as misconduct, for which club membership can be suspended or revoked in accordance with the club constitution.
